Data you provide when setting up voice agents, including business descriptions, greetings, personality prompts, notification preferences, and knowledge base content.

When calls are handled by your agents, we process and store: caller phone numbers, call duration, conversation transcripts, call summaries, and caller-provided information (names, callback numbers, messages).

Usage Data

We collect information about how you use the Service, including pages visited, features used, and session data. This is used to improve the Service.

3. How We Use Your Data

We use your data to:

  • Provide and maintain the Service
  • Process inbound calls and deliver messages to you
  • Send notification emails with call summaries and transcripts
  • Process payments and manage your subscription
  • Improve the Service and develop new features

  • Telnyx — Telephony provider for phone numbers and call routing
  • Ultravox (Fixie AI) — AI voice processing and speech synthesis
  • Stripe — Payment processing and subscription management
  • Resend — Transactional email delivery (notifications, magic links)
  • Cloudflare — Hosting, CDN, and infrastructure

Each third-party service has its own privacy policy governing how they handle data. We only share the minimum data necessary for each service to function.

6. Cookies

We use a single essential cookie (voxwise.sid) to maintain your authenticated session. This cookie is strictly necessary for the Service to function and does not track you across other websites.

We do not use analytics cookies, advertising cookies, or any third-party tracking cookies.

7. Data Retention

We retain your data as follows:

  • Account data: Retained while your account is active, deleted within 30 days of account closure
  • Call transcripts and recordings: Retained for 90 days, then automatically deleted
  • Payment records: Retained as required by financial regulations (typically 7 years)

8. Your Rights

Under UK GDPR, you have the right to:

  • Access — Request a copy of the personal data we hold about you
  • Rectification — Request correction of inaccurate data
  • Erasure — Request deletion of your personal data
  • Restriction — Request restriction of processing
  • Portability — Request your data in a portable format

9. Data Security

We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS), secure hosting on Cloudflare's infrastructure, and access controls limiting who can view your data.

Some of our third-party service providers may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions, as required by UK GDPR.
